Although Chadwicks is a small Yorkshire company dealing primarily with local clients these clients vary tremendously in size, industry sector and location , which demands an efficient and flexible practice in order to cope with such a varied client base. The Business Problem The old filing system Chadwicks operates a busy office in central Bradford in a location where property prices and therefore lease overheads are rocketing. The company seeks to reduce the floorspace requirements by moving more to an electronic operation and therefore offer the flexibility of a later move to smaller more modern premises. This technology move provides an opportunity for Chadwicks to embrace more efficient working practices including allowing the directors to access information from anywhere, specifically not the office, possibly the golf club.
- Existing correspondence is all dealt with by the administrative staff but is not available to anyone not office based and is often difficult to find once “filed”.
- Client files are structured consistently but not easily cross-referable between the various types of information stored on each client creating islands within the organisation.
- As the business has grown organically over a number of years the current staff have a wealth of knowledge about their own business responsibilities, clients and procedures but this creates and over-reliance on individuals and limits flexibility
