MITIE Group provides a comprehensive range of services to owners and occupiers of commercial, industrial and public service premises. The Group is structured into two divisions known as Building Services and Support Services. Formed in 1987 MITIE now has regional offices in Glasgow, Manchester, Bristol, Birmingham and London with a further network of seventy two branch offices which in turn support in excess of three hundred sites across the UK.
MITIE customers are drawn from the FTSE 100 and other blue chip organisations including BT, Dell, Novell, Shell, MOD, Royal Logistics Corps and Trillium. Providing a wide variety of services, the group is completely committed to training and quality. Awarded ISO 9002 across all services, consistently high standards of delivery are achieved supported by high calibre people. Recognising this important aspect of MITIE’s business model the majority of the MITIE Group companies are recognised as Investors In People (IIP). This broad group of businesses spread across a diverse network topography presents a number of business challenges, many of which can be addressed by technology. Initially MITIE required a solution that met fundamental business aims, namely, be web browser based allowing access from anywhere, be easy to use reducing any training requirement to a minimum, and allow centralised access to and use of information from a dispersed user community.
The Business Problem MITIE fleet Getting down to the specifics, Senior Business Analyst, Andy Kennell, had four requirements to resolve:- A system was required to make the allocation of new PC details, (IP Address, ID, passwords etc) less dependent on specialist IT staff. This would deliver a streamlined process to the business and greater efficiency right across the Group.
- A third party produced digital library of marketing collateral is distributed regularly on a CD. There was a business pressure to replace this with an Intranet based solution removing the reliance upon a third party while improving user access to the information across the Group.
- The MITIE IT department had been restructured so that support is split between a central Group function, two helpdesks and five divisional IT departments. There emerged a requirement for a central knowledge base easily accessible from anywhere on the MITIE Network.
- There is often a requirement to share and consolidate information that is usually based around accessing spreadsheets and other documents, usually emailed around the organisation. A full-blown document management solution would be overkill.
The Easy Information Management Solution MITIE Security Excelpoint were engaged to review the business requirements and in the spirit of partnership implement initially a pilot solution in order to gain user commitment and adoption. During this time all business areas involved were impressed not only with the ease of use and flexibility of the system but also with the performance of Easy Information Management deployed in a complex network environment. Upon successful completion of this exercise the system was accepted and implemented across the Group. - EIM’s standard functionality allowed MITIE to quickly create a web browser based digital library that can easily be adopted and extended by their central Marketing Department.
- The MITIE IT department now uses EIM for it’s technical knowledgebase and has created further EIM Information Items to hold information on MITIE’s 300+ sites, various servers and user access.
- The out of the box functionality of EIM is so flexible that only a small amount of project development was required in order to meet very specific MITIE requirements and therefore derive further benefits.
- MITIE now use EIM to consolidate and centralise daily sales and stock levels across their catering division, replacing a labour intensive and “clunky” spreadsheet based solution.
- Upon further consideration the MITIE IT department recognised immediate possibilities in the rapid deployment of further Information Item Templates to end user data capture and information access. This centralised information is then analysed using the corporate standard COGNOS business analysis suite.
- As well as the initial solutions MITIE Group now use EIM in the area’s of Technology Review and Ordering, Vehicle Fleet Management, PO and Invoice reconciliation, Budget production as well as accessing corporate information held in none browser based solutions.
